Imperial Tours - Terms and Conditions


For most travel bookings we act as agent and not principal. Your bookings are made according to the contractual terms of the supplier whose details are shown on your booking confirmation. We advise you to read these terms and conditions carefully.


Booking Details


We advise you to check the booking details shown on your confirmation invoice carefully to ensure that all dates, times, departures and destinations of travel are correct. Please ensure that all names and passenger details are correct or the Airline may refuse to carry you. These details may be passed on to airlines or suppliers of your travel products when contractually required. We may also be required to pass these details to customs or immigration services in the U.K. and at your place of destination. If any details are incorrect it is important that you notify us immediately as any changes to these details may incur a charge.


Payments


You may be required to make a deposit payment with the final balance due before departure according to the details shown on your confirmation invoice. Failure to make payments on time may result in cancellation of your travel arrangements and additional cancellation charges.


Cancellation and Amendment


Cancellations and Amendments must be sent to us in writing and will not take effect until they have been accepted by the supplier. Cancellation charges may be applicable and vary according to operators' terms and conditions. Cancellation made after the full balance is due will still be liable for full payment.


Insurance


We strongly recommend that you take out insurance cover for your holiday. To ensure valid Cancellation and Curtailment Insurance, the policy must be taken within 14 days of your booking. Any medical conditions must be declared at the time of booking and may result in a refusal to insure. Full details of the insurance terms and conditions will be enclosed with your booking confirmation.


Booking Confirmation


We normally receive confirmation of your booking from the principal supplier within 3 weeks of the booking. The confirmation invoice will subsequently be forwarded to you and we recommend that you check the details carefully to make sure that they are correct.


Passports & Visas


It is your responsibility to ensure that all members of your party hold valid passports for the destination to which you are travelling and should not expire before the date of return. (It should be noted that some countries require passports to be valid for at least 6 months after the date of return).

Holders of Foreign passports should check with the consulate of the country you are intending to visit to ensure the validity of their passports.

Children now require their own passports and it is your responsibility to ensure that they have a current passport.

Some entry stamps may bar entry into other countries.


USA Specific
British passport holders travelling to the USA are required to have individual machine-readable passports. (If you need to check your passport we recommend you contact the UK Passport Office).
Families will be required to obtain individual passports for each traveller including all children.
You are advised to regularly check the latest entry requirements to the USA with the UK passport office and US embassy, as passengers must ensure they can meet entry requirements prior to departure.

USA Visas
Provided you satisfy the passport requirements stated above, you should qualify for visa-free travel. Please note though a visa is required in the following circumstances; if you do not have a machine readable passport; if anyone in your party has ever been arrested (even if not convicted) or is suffering from a serious communicable disease, drug addiction or previous exclusion from the USA; if your passport validity extends less than 90 days beyond entry; or if you are staying for over 90 days.

Children under 18 travelling unaccompanied may require additional documentation for entry to the USA. Please check with the relevant authorities to ensure you satisfy the entry requirements.

Visas & Destination Advice


You may need a visa when entering or passing through certain countries. It is your responsibility to ensure that you have the correct documentation for your journey.

Please note that the application process for certain visas can take some time. We cannot accept any responsibility for holidays cancelled due to the lack of or refusal of visas or other breaches of entry regulations. In particular, some flights will include transit stops not shown on the itinerary, which may require visas.


Regulations can change. Even if you are a regular visitor you should ensure that you recheck requirements prior to travel.

It is a good idea to check if the Foreign & Commonwealth Office has issued any advice on your destination(s) prior to travel.

Health & Vaccinations


It is advisable to have vaccinations when visiting destinations outside of Europe. Your doctor should be able to assist you with any advice specific to you and your destination(s).
Some vaccinations may require a course of injections of a number of weeks or months so it is advisable to check this as soon as possible.

Passengers with any medical condition or who are pregnant must obtain written approval to travel from their doctor prior to departure and your condition should be advised to your travel insurance provider.

Health facilities, hygiene and disease risks vary worldwide. Health advice should be sought as early as possible by obtaining the Department of Health's leaflet 'Worldwide Health Advice for Travellers' (T7) (available by phoning 0800 555 777), or contact you general practitioner or a specialist clinic.



By ringing 0845 606 2030 you can order a European Health Insurance Card which replaces the old E111 card. You will be charged for this call. This and the T7 are free. Leave at least 7-10 days delivery time.

Travellers' Health Line: The Medical Advisory Services for Travellers Abroad (MASTA) can provide up to date information for your trip. Phone 0906 822 4100 for a 'Health Brief' containing information about immunisations that you may require, malaria advice, health news and FO advice. Calls cost 60p/min at all times (duration approx 4 mins). Be prepared to leave your name, address and journey details. Your Health Brief is sent by post.

Flights


Many airline tickets do not allow refunds or changes once your reservation has been confirmed. Flight prices cannot be guaranteed until the full amount has been paid so we recommend prompt payment of the full balance.

Some Governments may impose taxes, which cannot be included in the ticket cost and must be paid locally. Taxes may vary after the date of booking and there may be additional taxes to pay before departure.

Some airlines share flights with several flight numbers sharing an individual aircraft. The different airlines may offer different services onboard with regard to meals, drink etc.

Children 2 years of age or more on date of return to the UK must by law pay for and occupy a seat. Specific enquiries should be made for airline policy for babies and children below this age.

Airline schedules can change and, after your departure from the UK, we recommend that you reconfirm onward reservations 72 hours prior to each flight. Failure to do so may result in your reservation being cancelled.


Complaints


Any complaints should be sent in writing to Complaints Department, Imperial Tours Ltd, 4 Pelham Court, Pelham Place, Broadfield, Crawley, West Sussex, RH11 9SH.

We will acknowledge your complaint within 14 days of receipt and within 28 days we either reply in full or send a detailed explanation for the delay. In either case we will deal in full with the complaint within 56 days.

If you are still not satisfied, the matter can go to arbitration with the Travel Trust Association and details can be found on their website at http://www.traveltrust.co.uk.


Service Charges


In certain circumstances we may apply a service charge for the services we provide.


Payments


All payments should be made to "Imperial Tours Ltd Trust Account". This money will be deposited directly into the company's trust account which is regulated by the Travel Trust Association. Credit and Debit Card payments will automatically be deposited directly into the Trust Account.


Credit Card Charges


We may apply a charge for payments by credit card. There is no charge for debit cards.

Your Financial ProtectionWe are a fully bonded member of the Travel Trust Association. A leaflet has been enclosed for your information. If you would like further details we will be happy to provide them or you can refer to the Association's website at http://cwz.traveltrust.co.uk.


Special Requests


If you have any special requested such as dietary arrangements or disabled access please let us know and we will pass on these requests to the Airline, Hotel or Package operator that you will be travelling with. These requests cannot be guaranteed and will be subject to the conditions of the supplier. Wheelchair assistance must be pre booked.


Car Hire


Car hire is subject to the supplier's terms and conditions. We recommend that you carefully check the paperwork when you collect your hire car particularly in respect of insurances and insurance excesses. For some countries such as the USA it may be advisable to take out a Top up Insurance to extend the standard rate of Third Party Liability Insurance.


Liability


Imperial Tours makes best endeavours to ensure the accuracy of information provided both on its website and on client's travel paperwork. However because of our reliance on information from third party systems and operator's brochures we cannot guarantee the accuracy of the information provided.

Using the website means that you accept that Imperial Tours Ltd will NOT be liable for any losses arising from use of the information provided, including the loss of profits or anticipated savings. Your use of our website is on the understanding and acceptance of these terms. Whilst all endeavours have been made to ensure the accuracy of the data on the site we do not accept liability for data whilch is later found to be incorrect.

Furthermore we do not accept liability for the information or services of any websites to which we have links. The inclusion of such links does not mean that we endorse any material contained within these sites.

This includes Passports, Driving Licenses, Insurances Policies, Our Paperwork and the Suppliers Confirmation Invoices.When travelling it is a good idea to store documents and spare cash / credit cards in a secure location such as a Hotel Safe, rather than carrying them with you at all times.
